15.3. Downloading Looker Studio Reports in PDF format
Sharing Looker Studio reports in PDF format is useful when you don't want to give someone direct access to the report or when you have a specific reporting schedule.
Downloading a Report as PDF
To download a report as a PDF, click on the dropdown menu beside the Share button and select "Download Report." Choose either all pages or selected pages, and the PDF will be generated. Additional options include ignoring custom backgrounds, adding a link back to the report, and password-protecting the report for added security.
Scheduling Email Delivery
To schedule a PDF report to be sent via email, click on the dropdown menu beside the Share button and select "Schedule Email Delivery." The email will be sent from the report owner, and you can add additional recipients. They do not need a Google email address or direct access to the report.
Customize the subject and message, and choose which pages of the report to include in the PDF. Set a start time and time zone, and specify the frequency of delivery. Options include daily, weekly, monthly, every weekday, or custom intervals.
Unfortunately, there is no option for an end date in Looker Studio. To stop scheduled email deliveries, you'll need to manually delete the schedule. Do this by accessing the scheduling options again and either editing or deleting the schedule.
As the report editor and owner, it's your responsibility to manage the email delivery schedule. Recipients can't remove themselves from the schedule unless they have access to the report and can edit it. A simple hack to remember to cancel a scheduled delivery is to set a reminder on your calendar a day before the desired end date. This way, you'll receive a notification and can manually delete the schedule.
