Chapter 15: Sharing, Tracking, and Management
15.10. Auditing Dashboard Usage
Auditing the usage of your Looker Studio reports is essential to understand how your team and clients are interacting with the data. You can track when reports are viewed, edited, or shared, and identify any unauthorized actions. This can be done using Google Workspace's Audit Log feature.
Accessing the Audit Log
To access the Audit Log, go to your Google Workspace admin, navigate to "Reports," then click on "Audit Log" and select "Data Studio." You'll be able to see information about the asset, event description, actor, date, asset ID, owner, IP address, connector type, and visibility.
You can adjust the columns, filter the data by actor, asset ID, owner, visibility, or date range, and even download the log as a Google Sheet or CSV file for further analysis.
Setting Up Alerts
You can set up alerts to be notified when specific actions are taken on your reports. For example, you might want to be alerted when a report is shared, deleted or edited. To create an alert, apply the desired filters to your Audit Log view, and then click on "Create Alert." You can name the alert, choose whether to send it to the Alert Center or add a recipient email address, and configure the alert settings.
Benefits of Auditing Dashboard Usage
Auditing dashboard usage provides valuable insights into how your Looker Studio reports are being used and ensures that they are being accessed and modified appropriately. By setting up alerts and monitoring the Audit Log, you can maintain control over your reports and quickly address any unauthorized actions.
